Role of Supervisor

  • Review Sick Leave policy
  • Review web time entry & monthly leave Payroll policy above particularly the section on approving time/leave
  • Review departmental sick leave policies & practices
  • Review with employee expectations for leave requests how to request, how much advance notice, etc.
  • Ensure employee understands all policies and knows how to enter time
  • Advise employees to contact HR if they need to be out for themselves for more than 3 consecutive days AND are under the care of a physician so they can apply for FMLA and potentially Short Term Disability (STD)
  • Employees that need to be out to care for themselves or immediate family members for longer than 3 days or on a consistent intermittent basis should also contact HR to learn about FMLA eligibility
  • Ensure you are approving all monthly leave reports in a timely manner this is extremely important and could have a detrimental effect on the employee if not approved timely. Unapproved leave reports could inflate the amount of leave an employee actually has, causing them to go into a deficit once old leave reports are finally approved.
    • Set up a reminder in Outlook each month
    • Ask employees to e-mail you once they have submitted their leave report

  • Answer questions regarding sick leave balances and policies

Process Steps

  1. Ensure employee understands how to request leave
    • If advance notice is required
    • If emergency, who to contact and when
  2. Ensure employee completes leave report/time sheet appropriately and in timely manner
  3. Approve leave report/time sheet in a timely manner
