View/Change Your Benefits

Several benefits may only be changed outside of the 30 days of your hire date, which are during Open Enrollment, or as the result of a qualifying life event. You must make your enrollment change in Workday within 30 days of your qualifying event to make a change; otherwise, you must wait until the next Open Enrollment period. If you experience a Qualifying Life Event change log into Workday workday.richmond.edu.

NOTE: Benefits begin on the first day of the month following enrollment (not event) as long as you enroll within 30 days of the event with the exception of birth and adoption. Birth and adoption are effective on the date of the event.

Workday for Benefits Changes

Use your Workday account for all benefit changes during the year. 

  • View your current benefits
  • Make a change to your benefits mid-year due to a qualifying event
  • Make a mid-year change to your Health Savings Account (HSA)
  • Review, update and/or add a beneficiary
  • Add a dependent (upload dependent verification information directly to Workday)

Status Changes

If one of the following events happens to you, use the quick reference guide below to see how to proceed. 

Change in Marital Status

This includes a marriage, divorce, or death of a spouse.

  1. Insurance Benefits: Go to Workday (see below) to add/remove your spouse to/from your medical and/or voluntary benefits. If adding a dependent, make sure you have the appropriate documentation for dependent verification. Please note that this must be done within 30 days of the status change.
  2. Retirement Plan: If you have a retirement plan through TIAA and wish to add or remove your spouse as your beneficiary, call TIAA directly at 800-842-2252 or log into your account to change your marital status. 
  3. Tax Forms: Review your federal and state tax status.

    You can update these forms in Workday at any time by updating your Tax Elections by selecting:
    1. Your Profile
    2. Pay
    3. Tax Elections

  4. Other Benefits: E-mail urhr@richmond.edu to request a UR ID number for your dependent's use of the Weinstein Center for Recreation and tuition remission, if eligible.

Name Change

  1. Show your new social security card (no photocopies) to Human Resources in Weinstein Hall and your name will be changed in Workday.
  2. If you would like your e-mail display name updated, call the Help Desk. They will create a new e-mail address with the name change and forward your old e-mail address to your new one. You will keep your original Net ID.

Change in Number of Children

This includes the birth, adoption, or placement of a child. It also includes the removal of a child due to death or age limitations.

  1. Insurance Benefits: Go to Workday (see below) to add/remove your child to/from your medical and/or voluntary benefits. If adding a dependent, make sure you have the appropriate documentation for dependent verification. Please note that this must be done within 30 days of the status change.

If you are pregnant, adopting, or have state placement of a foster child in your home, make sure you have applied for Parental Leave, FMLA, and Short-Term Disability within 31 days of the event. 

Change in Employment Status

This includes a change in employment status of the employee, spouse, or dependent child.

If YOUR employment status at the University changes:

  • Full-time to Part-time: HR will notify you regarding the termination of your benefits. COBRA information will be sent directly from WageWorks, Inc./ Health Equity, UR's COBRA Administrator.
  • Part-time to Full-time: HR will contact you to schedule your benefits orientation.

If your DEPENDENT'S employment status at another organization changes, and you wish to add or remove them from your benefits, go to Workday. If adding a dependent, make sure you have the appropriate documentation for dependent verification.

Change in Place of Residency

Update your address in Workday. This includes a change in your place of residence. To learn how, view the job aid.

We will notify our medical provider of your address change once you have changed it in Workday.

Update Beneficiaries In Workday

Employees can now access their dependent's URID in Workday! 

  1. Log into Workday
  2. Select Actions under upper right profile
  3. Select Benefits
  4. Select My Beneficiaries
  5. Select the highlighted blue name of your beneficiary for more information, including their Beneficiary ID

Age Limitations for Coverage

This includes the ages at which employees and/or dependents age out of varying University benefits.

Benefit Employee Spouse Children
Medical, Dental & Vision n/a n/a Coverage ends on December 31 of the calendar year in which your child turns 26. Remove your dependent during Open Enrollment prior to their coverage ending. Your dependent will automatically be offered Cobra for Medical and Dental insurance.
Long-Term Disability After age 68 1/2, benefits are payable up to a maximum of one year. n/a n/a
Basic Life Insurance Coverage automatically reduces to 65% at age 65, 45% at age 70, 30% at age 75, and 20% at age 80. n/a n/a
Voluntary Life Insurance Coverage automatically reduces to 65% at age 65, 45% at age 70, 30% at age 75, and 20% at age 80. Coverage automatically reduces to 65% ends on their 70th birthday. Coverage will automatically end on their 26th birthday.
Legal Resources n/a n/a Coverage will automatically end on their 26th birthday.
