Temporary Work Arrangements for Fall 2020

If currently working remotely, you do not need to complete any of these forms until your return to campus date has been established by your supervisor. Approval of work arrangements is dependent on departmental/school authorization.

Leave can be taken between August 1 – December 31, 2020.

Faculty/Staff Temporary Modified Work Arrangement – Medical Reasons

Employees who are, or who live with someone who is, in a high-risk category for severe illness from COVID-19 may request a temporary modified work arrangement, which could involve special personal protective equipment, modifications to work stations or spaces, partial or full remote work, or other temporary modifications. Such a request will require completion of a simple medical certification form regarding the high-risk status without medical details and will be reviewed and considered by Human Resources in collaboration with the employee’s supervisor.

Staff, please note:

If the request is to work remotely or to not work on campus and is not feasible given the employee’s position duties or the University’s operational needs, staff may request up to 16 weeks of leave (paid and/or unpaid) and must take all paid leave in the following order prior to taking leave without pay:

  1. COVID-19 Special Paid Leave
  2. Sick leave
  3. Vacation leave
  4. Other paid leave (e.g. personal day, bonus leave)
  5. Leave without pay

While on unpaid leave during the pandemic, the employee is only responsible for the employee portion of their benefits. Holidays are not paid while on an unpaid leave (the employee must in a paid status the day before and after the holiday).

Staff Temporary Flexible Work Arrangement

Staff who may need to request a flexible work schedule due to non-medical COVID reasons may use the Staff Temporary Flexible Work Arrangement form.

If reducing hours, the employees must use all paid leave prior to reducing their pay in the following order:

  1. COVID-19 Special Paid Leave
  2. Vacation leave
  3. Sick leave
  4. Other paid leave (e.g. personal day, bonus leave)

Staff Temporary Leave of Absence 

Staff may request no more than 16 weeks of leave (paid and/or unpaid) due to a COVID related situation using the Staff Temporary Leave of Absence form

If approved for a leave of absence, the employee must take all paid leave in the following order prior to taking leave without pay:

If due to a medical condition:

  1. COVID-19 Special Paid Leave
  2. Sick leave
  3. Vacation leave
  4. Other paid leave (e.g. personal day, bonus leave)
  5. Leave without pay

If due to a non-medical condition:

  1. COVID-19 Special Paid Leave
  2. Vacation leave
  3. Sick leave
  4. Other paid leave (e.g. personal day, bonus leave)
  5. Leave without pay

While on leave without pay:

  • Holidays are not paid while on unpaid leave. (The employee must be in a paid status the day before and after a holiday).
  • While on unpaid leave during the pandemic, the employee is only responsible for the employee portion of their benefits. The University will continue to pay its portion. Employees will be billed for their portion of benefits.
